Office Manager

ETNA is a welcoming and vibrant Community Centre in the heart of TW1. The ethos of ETNA is to be a place where the local community feel welcome and part of the Centre. We are looking for a person to be our Office Manager. Is this you? You will be an important member of the team and work alongside the Centre Director, Administrator, Facilities Coordinator and Cleaning Manager. Your role will be to assist the Centre Director in the day to day running of the Centre, managing bookings, policies, marketing and social media. As we are a small team it is key that you work well with people and can adapt to situations, to ensure the smooth running of the Centre.

Hours:  37.5 hours per week

Days: Monday to Friday

Pay: £18 p/h

Responsible to: Centre Director

Primary Base: ETNA Community Centre, Twickenham, TW1 2AR

Additional Hours: May be required for events or special projects and will be paid as overtime

Personal Specification

  • Excellent verbal and written communication in English
  • Computer literate with a good level of understanding of Microsoft Office – Excel/Word/Outlook
  • Calm and approachable, with excellent customer service skills
  • Ability to manage and develop a team

  • Knowledge of Quickbooks accounting package

Your role:

  • Managing existing bookings with clients and new enquiries with Centre Director
  • Organising viewings for party/event hire and other activities
  • Managing team to ensure smooth running of the Centre
  • Working with administrator to ensure all invoices raised and monies received
  • Updating Skedda online booking system
  • Using Zettle for payments and processing data
  • Overseeing weekly reporting of payments
  • Filing and general office admin, maintaining an effective filing system for all documents
  • Communicating with clients
  • Efficiently answering telephone and emails to clients
  • Implementing and updating ETNA policies and procedures
  • Ensuring General Data Protection Regulation (GDPR) policy is adhered to and communicate immediately if it has been breached to CD
  • Assisting Centre Director in other tasks as required
  • Reviewing of systems to ensure best practice
  • Reporting any incidents to Centre Director and Board of Trustees where relevant
  • Managing Facilities Coordinator and Cleaning Manager to ensure the Centre is always a safe and hygienic environment
  • Planning and posting social media for the Centre and clients
  • Organising noticeboards internal and external
  • Creating marketing materials and signage for the Centre
  • Running events when necessary
