Facilities Coordinator Role
The Role
Hours: 30 hours per week Monday to Friday
Additional Hours: May be required for events or special projects
Salary: £22,650 p/a (overtime or time off in lieu of any agreed additional hours)
Holidays: 28 days including bank holidays
Responsible to: Office Manager
Primary Base: ETNA Community Centre, Twickenham, TW1 2AR

Personal Specification
Essential Skills
- Good communication skills, written and spoken English (you will be expected to use Microsoft Office – Excel/Word/Outlook)
- Ability to work in harmony with the team (staff and volunteers)
- Being physically capable
- Experience in minor repairs and maintenance with good attention to detail
- Experience of working with contractors
- Self-motivated and good at problem solving
- Calm and approachable, with good customer service skills
- Excellent time management
- Knowledge of health and safety regulations
Desirable
- Experience of working in a building open to the public
- First Aid/Fire Marshall certificates
- Ability to build and motivate volunteer teams
General:
Daily:
- Put out rubbish for refuse collections daily in coordination with Cleaning Manager, report if collections have been missed
- Check all external areas for litter/cigarette butts and leaves and clean accordingly before 9am so the Centre is presentable for opening to the public
- Empty external litter bins and clean bins
- Empty internal litter bins as required
- Deliver post to offices as instructed by Office Manager
- Ensure furniture is in the correct place at the start of each day
- Carry our health and safety checks and sign daily checklist sheet – highlight any concerns to Office Administrator or Centre Director
- Report any incidents in a timely manner to the ETNA office team
- Report any risks and help identify solutions
- Act as Fire Marshall
Weekly:
- Check fire alarm and call points
- Check intercom system is working correctly
Periodic
- Fire alarm drill (every 6 months)
- Check cupboards for any fire hazards
- Tidy storage cupboards, sheds, tool storage
Building Maintenance:
Daily:
- Inform office team if anything needs attention/repair, so that the relevant trade or Facilities Management (FM) team (based at LBRuT) can be contacted
- Remove any broken items from public use
- Greet contractors who are coming to carry out maintenance and ensure they fill in signing in book
- Ensure all health and safety checklists are adhered to, at all times
- Risk assess any remedial works before they are carried out
- Maintain equipment
- Monitor car park for any illegally parked cars and address as required
Weekly:
- Check signage is in place and not damaged – notify Office Manager of any replacements required
- Check radiators and valves are set as required
- Read gas, electric, and water meters
Periodic:
- Check flat roofs for leave debris and clean as required
- Check gutters for leaves/debris
- Check drains and call FM team as required
- Decorating as required
- Monitor outdoor and indoor lights and replace bulbs accordingly
Be emergency contact for out of office hours bookings
Gardening Tasks:
Work with and manage small team of gardening volunteers, ensuring tasks are clearly communicated and health and safety is adhered to. Ensure volunteers are looked after and do not over work their hours.
Daily:
- Clear leaves from grounds
- Water flower beds as required
- Check irrigation system is working
Weekly:
- Clean front steps
- Pressure wash deck area and front ramp
Garden tasks to be shared with volunteers:
- Watering
- Pruning
- Weeding
- Feeding plants
- Digging in new soil/mulch
- Planting bulbs and refreshing plant pots seasonally
- Trimming hedges
Fortnightly:
- Put out Green Waste bin for collection by Richmond Council on a Wednesday (follow LBRuT calendar)
