Administrator Role
ETNA is a welcoming and vibrant Community Centre in the heart of TW1. The ethos of ETNA is to be a place where the local community feel welcome and part of the Centre.
We are looking for a person to work part-time as an administrator. Is this you? You will be an important member of the team and work alongside the Centre Director and Office Manager.
Your role will be to manage the invoice process, payments, and admin tasks associated with client bookings.
As we are a small team it is key that you work well with people and can adapt to situations, to ensure the smooth running of the Centre.

Hours: 6 hours per week with the opportunity for this role to grow
Days: Tuesday and Friday mornings 9.30am till 12.30pm
Pay: £16 p/h
Responsible to: Centre Director and Office Manager
Primary Base: ETNA Community Centre, Twickenham, TW1 2AR
Additional Hours: May be required for events or special projects and will be paid as overtime

Personal Specification
- Excellent verbal and written communication in English
- Computer literate with a good level of understanding of Microsoft Office – Excel/Word/Outlook
- Calm and approachable, with good customer service skills
- Ability to work in harmony with the team (staff and volunteers)
- Thorough attention to detail
- Strong organisational skills
- Self-motivated and good at problem solving, calm under pressure
- Excellent time management
Desirable
- Knowledge of Quickbooks accounting package
- Charity sector experience
Your role:
- Processing of invoices for all clients on Quickbooks and ensuring all client information is up to date
- Using Skedda online booking system to pull off monthly data to create invoices for Quickbooks
- Updating Skedda accordingly
- Using Zettle for payments and processing data
- Weekly reporting of payments
- Chasing payments and highlighting overdue invoices to CD
- Filing and general office admin, maintaining an effective filing system for all documents
- Communication with clients
- Ensuring General Data Protection Regulation (GDPR) policy is adhered to and communicate immediately if it has been breached to CD
- Answering telephone and emails to clients
- Check all new bookings with Office Manager
- Understanding ETNA’s T&C’s
- Assisting Office Manager in other tasks as required
- Reviewing of systems to ensure best practice
- Report any incidents to ETNA team
- Welcome clients and other guests
- Updating policies with Centre Director and trustees
